How do I give someone access to only certain apps?
With an access profile. It defines which apps someone can open, which records they see and which actions they're allowed to take. Start with a template like “Sales Rep” or “Finance Viewer” and assign the profile to a person or team. Anyone without a profile keeps working as before with all apps for their role.
- Open Settings → Access profiles.
- On a template, choose “Use” and adjust the profile. A template doesn't change anyone's access until you assign it.
- Open Members & teams, the person, “Access” tab, and choose the profile under “Access profile”.
